Preferred PM tool - key functions / criteria
- Can it auto remind? Relevant owners 3 days before the deadline. [Smartsheet - yes, via email and also workflow processes]
- Reports - grouped over-due actions across all projects to Tern members. Same as consolidated owners/status across multiple projects. [Smartsheet - yes, report of tasks by status over multiple projects is possible]
- Can it integrate with Notion for detailed notes? [Smartsheet - only by URL integration/linking to Notion]
- Baselining. How has the timeline moved against an original baseline [Smartsheet - yes, baselines can be taken]
- Licensing model - can the PortCo owners a) create projects and b) create tasks? Collaborators can “edit” but can they do these two actions? [Smartsheet - it would appear this is possible. I’ve used Darren as a guest user on my trial account and he’s been able to edit and create tasks]
- We need the solution to provide project status updates in the Board pack. Ideally, it should be automatically populate certain google slides. [Smartsheet - can report and has a built in portfolio report which can be customised (screenshot below) - would need further work to integrate with Google https://help.smartsheet.com/articles/863861-smartsheet-integration-with-google]
- Can we replicate this on a tool which will send weekly updates on all overdue compliance actions? Overdue is measured based on deadlines that were missed a week before the actual statutory deadline. [Smartsheet - we would have to copy the data into a new plan, but it should be able to report as needed]
Notes
- We don’t need each company to have its own PM account. The Tern Account will create projects which the PortCos should be able to modify, add new tasks, etc.
